Exhibit Opportunities

The ADEC Annual Conference presents a unique opportunity for interaction between individuals
concerned with psychosocial, clinical and educational aspects of death and loss. The ADEC Annual
Conference provides a forum for the exchange of information in death education, care of the dying and
bereavement counseling and support.

Tabletop Exhibits
Displays of products and services at the annual conference provide valuable interaction between the profession and organizations providing products, research publications and services relative to the field of death and loss. The ADEC exhibit area and the ADEC Book Room and Poster Presentations this year will be located in one room. Breaks and receptions will be served in this room, allowing for maximum exposure.

Exhibit Set-Up Wednesday, April 30 8:00 a.m. – 5:00 p.m.
Exhibit Hours Thursday, May 1 9:00 a.m. – Noon
  Thursday, May 1 1:30 p.m. – 6:00 p.m.
  Friday, May 2 9:00 a.m. – 1:00 p.m.
  Friday, May 2 3:00 p.m. – 7:30 p.m.
  Saturday, May 3 9:00 a.m. – 2:00 p.m.
Exhibit Dismantle Saturday, May 3 2:00 p.m.

Tabletop Exhibit Specifications
Exhibits include one complimentary full meeting registration, one 6-foot-by-30-inch draped table, two chairs, exhibitor ribbon, identification sign and listing in the final program. Exhibitors are responsible for all taxes on items sold at the meeting.

Exhibit table with one full registration to attend full conference activities (Wednesday – Saturday)*

Books with ISBN numbers will not be sold: $500 USD $600 USD
Books with ISBN numbers will be sold: $600 USD $700 USD

*Additional registrations can be purchased at a reduced meeting registration rate.

All books with an ISBN number will be sold through the ADEC Book Store at the Annual Conference except those exhibitors who have registered to sell their ISBN books at their exhibit table. Exhibitors, who are selling their product, should have sufficient supply of books as the ADEC Official Bookstore will not have those books onsite. Self-published books may be sold directly to attendees in the exhibit area from their assigned tables at no additional fee.

Exhibit Space Assignment Policy
Exhibit space locations will be assigned on a first-come, first-served basis. Space will not be assigned without full payment. ADEC reserves the right to determine final exhibit space assignments and to accept or reject any exhibit.

“Take One” Literature Display
An unsupervised exhibit station where brochures, educational materials, publications, newsletters and surveys will be placed so attendees can browse at their leisure. Companies interested in participating in the “Take One” display will ship materials directly to the Fairmont The Queen Elizabeth at their expense. ADEC staff will make sure that materials are displayed in the “Take One” area during the annual conference. Left over materials will not be returned.Take One Price: $250 USD (per piece)

“Stuff It” Registration Bag Stuffer
Reinforce your impact at the ADEC 30th Annual Meeting, make an announcement or promote your organization with this unique opportunity. Take advantage of a limited number of marketing pieces stuffed into the registration bag distributed to all attendees at registration. ADEC reserves the right to review and approve any and all materials to be included in the registration bag. You will be responsible for supplying the materials to the Fairmont The Queen Elizabeth and for the corresponding shipping charges to the Fairmont The Queen Elizabeth. Stuff It Price: $350 USD (per piece)

Hospitality Suite/Event Scheduling
Exhibitors and supporters are encouraged to host hospitality suites or other events during the course of the ADEC conference however these events cannot conflict with any scheduled ADEC conference activities.
