PRESENTATION CHANGES – Deadline January 25, 2009
Presentation changes are subject to approval by the Program Committee. ADEC cannot guarantee that changes submitted after the deadline will be included in the final program. Changes received after the deadline will only be announced in a final program Addendum. Changes must be submitted via e-mail to adec@adec.org. Added presenters must supply their full contact information. Please also notify us if you need to withdraw.
AUDIOVISUAL AND ROOM SET-UP GUIDELINES – Deadline January 5, 2009
ADEC is pleased to announce that we are able to provide the use of state-of-the-art computer projection technology. This technology will allow speakers to take advantage of computerized presentation software to enhance the quality of presentations, while at the same time providing attendees with the level of presentations consistent with comparable professional conferences.
The following AV equipment and room setup is provided:
- LCD projector display device (to display PowerPoint or other electronic information) Presenters must bring their own laptops. Laptops will NOT be provided by ADEC. PC laptops are preferred. Mac users should bring any appropriate adapters to ensure connection.
- Appropriate size screen
- One wired microphone
- Room will be set theatre style
The only items that are available by request are a DVD or a flipchart. All other AV equipment including 35mm slide projectors and overhead transparency projectors will not be available.
If you need to request a DVD or flipchart, (if you did not already do so during the abstract submission process), please contact Emily Burch at eburch@adec.org. Requests must be received by January 5, 2009. Requests are subject to approval by the program committee.
HANDOUTS
Attendees prefer to receive handouts; i.e., outlines, copies of materials used on the poster, etc. It may also be helpful to distribute contact information so that attendees can follow up with presenters after the meeting has adjourned. It is also recommended that you bring a sign-up sheet on a clipboard in case you run out of handouts so you can forward extra copies to those who request them. A full-service business center is located on site and offers a full range of business services. Copying charges are at your own expense.
If you plan to provide your handouts, you can ship them directly to the hotel to your attention. You are responsible for any shipping and handling costs incurred at the hotel.

BOOK ROOM Deadline – December 31, 2008

Purchase new publications as well as classic resources for your library. To suggest new books, tapes or videos that should be included, contact Susan Roos by e-mail at drsusanroos@juno.com. For each request/suggestion, she needs: 1) title, 2) author, 3) ISBN number, and 4) publisher. If you are a presenter making a recommendation/request, Susan also needs the context of your presentation (i.e., pre-conference, workshop, poster, etc.)
MEET THE AUTHORS RECEPTION – December 31, 2008
Friday, April 17, 6:00 p.m. – 7:00 p.m.
Chat with leading authors in the field of dying, death and bereavement. The Book Room will be open during this event. Authors interested in participating should contact Kaori Wada by e-mail at perfumew@gmail.com.
CALL FOR SESSION CONVENERS
Please consider contributing to the success of the ADEC conference by convening a concurrent session. The task consists of introducing the speaker and timing the presentation. If you are interested contact: Lisa Hensley at lhensley@txwes.edu.
REGISTRATION Deadline – February 18, 2009 for reduced rates
All presenters are required to register at the posted registration rates. You can register via mail or fax by using the registration form online.
HOTEL ARRANGEMENTS Deadline – March 12, 2009
ADEC has negotiated discounted rates with the Hyatt Regency Dallas of $149 USD single/double occupancy and $174 USD triple/quad occupancy. All rates are subject to federal, state and local taxes. The conference rate is available (as space permits) three days before April 14 and three days after April 17. LETTER OF INVITATION
ADEC headquarters can issue a letter of invitation for visa applications or other travel regulations if necessary to you and/or your co-authors. The presenter (or co-author) must send a request with their legal name, affiliation and the title of the presentation to adec@adec.org.
